# Manager heads-up before a launch

> A note to managers before a launch, so they hear about a new tool or program before their team asks them.

Category: Launch announcements

Canonical: https://shuffl.ai/templates/manager-launch-heads-up

## When to use it

Managers get the first questions about anything new. A short note a few days ahead means they can answer them.

Use it for any launch: a new HR tool, a pulse survey, a praise channel or a new onboarding program.

## Heads-up message to managers

Send it to managers a few days before the company announcement.

```text
Hi [manager’s first name],
On [launch day] we’re introducing [tool or program] to the company. You’re hearing first so you can answer your team’s questions.
What it is: [one sentence].
What your team will see: [the first message or email they get].
What we need from you: [for example, mention it in your next team meeting].
If your team asks something you can’t answer, send them to [name or channel].
Thanks,
[your name]
```

## How to adapt it

- Keep it to what managers need to say and do.
- Tell them the date, and when their team will hear.
- Give them a person or channel for questions they can’t answer.

## Managers carry change to their teams

- **47%** of US employees say their team lead has the most influence on change (Eagle Hill, 2025) [eaglehill-change]
- **25%** of US employees agree their organization manages change effectively (Eagle Hill, 2025) [eaglehill-change]
- **40%** of US employees feel listened to on how changes roll out to their team (Eagle Hill, 2025) [eaglehill-change]

## What the research says

Employees look to their nearest leader during change. In a 2025 survey of US employees, 47% said their team lead has the most influence on change, and 59% saw their manager as a role model. Only 25% agreed their organization manages change effectively.[eaglehill-change]

People want a say in how changes land. 57% felt heard on identifying needed change, but only 40% felt listened to on how changes are rolled out to their team, and 33% felt their voice mattered in prioritizing change.[eaglehill-change]

Manager support changes behaviour. In Gallup’s research on new AI tools, 78% of employees who strongly agree their manager actively supports AI use are frequent users, compared with 44% of those who don’t.[gallup-ai-adopters] Managers who hear first are in a better position to give that support.

## Common mistakes

- Giving managers no way to respond. Ask what questions they expect, and answer them before launch.
- Leaving out what changes for managers themselves, such as new approvals or reports they’ll see.
- Forgetting managers who are on leave or start after the heads-up goes out.
- Expecting managers to champion something they haven’t tried. Give them access first.

## Common questions

**Why should managers hear about a change before their team?**
Because their team will ask them first. A manager who already knows what’s happening and why can answer calmly, instead of hearing about it at the same moment as everyone else.

**How far ahead should you tell managers about a launch?**
A few days to a week is usually enough: long enough to read and ask questions, short enough that it doesn’t leak or get forgotten. For bigger changes, brief them earlier and in person.

**What should a manager briefing include?**
What is changing and when, what their team will see, what you need managers to do and where to send questions they can’t answer. Keep it short enough to read in two minutes.
