# Use Shuffl with Workday

> Connect Workday to keep People current, and see what Shuffl does with it.

Audience: HR and IT administrators

Kind: How-to guide

## What Workday does in Shuffl

Workday holds the worker record at larger companies. Share a custom report with an integration user and People follows Workday: titles, managers, organizations, hire dates and leavers.

You need to be a Shuffl workspace administrator, with an administrator in Workday for the steps there.

## Connect Workday to People

1. In Shuffl, open People, then the Sync tab. Under Add a source, choose Connect on Workday.

2. In Workday, create an integration system user for Shuffl with access to workers, organizations and managers.

3. Build an advanced custom report of all workers, including terminated ones, with the XML aliases below.

```
Employee_ID
Preferred_Name
Email
Business_Title
Manager_Employee_ID
Supervisory_Organization
Hire_Date
Active
Termination_Date
```

4. Include terminated workers: Shuffl ends someone’s employment only when Active says they left or their termination date has passed.

5. Enable the report as a web service and share it with the integration user.

6. Paste its JSON URL and the user’s sign-in into Shuffl. Shuffl runs the report once before saving.

7. Choose Connect and sync. The first sync runs straight away and says how many people were new or linked.

8. Review the new people in People and enable access for those who should use Shuffl. A sync never turns access on.

<a id="what-comes-in"></a>
## What comes in

Shuffl reads Workday once a day. Sync now on its card reads it at once. Shuffl only reads; it never changes anything in Workday.

Workday’s values replace People’s on every read, so fix a wrong title or manager in Workday. A blank keeps what People has.

### From Workday into Shuffl

- Everyone, with names and work emails
- Job titles
- Managers
- Departments
- Start dates
- Leavers

<a id="what-hr-gets"></a>
## What it does for HR

### In Shuffl

- Start dates start onboarding playbooks on their own, put new hires on Home and drive work anniversaries.
- Managers fill the org chart, so playbook meet steps, manager to-dos and 30/60/90 plans reach the right person.
- Departments become department groups, so Pulse, eNPS and Culture compare teams without exposing anyone.
- Leavers lose access when they leave, and a termination date sets their last day, which can start a leaving playbook.
- Mello knows each person’s title, manager and department when it answers.

<a id="good-to-know"></a>
## Good to know

Keep terminated workers in the report. Workday ends employment from Active or a passed Termination_Date.

Use the report’s JSON URL from Actions → Web Service → View URLs, with ?format=json.

## With your other systems

Connect your HR system before an identity provider such as Okta, so it owns start dates, managers and departments. Slack and single sign-on keep names and emails.

<a id="fix"></a>
## If it stops working

When a card reads Needs attention, Workday refused Shuffl’s key or sign-in. Create a new one in Workday and connect again; Shuffl replaces the stored one. A failed run changes nobody.

Disconnect stops syncing and deletes the stored key. Everyone stays in People to edit by hand.
